Terms and Conditions of Membership and Participation

These Terms and Conditions apply to all swimmers, parents/caregivers, members, coaches, volunteers, team managers and supporters involved with Dragon Swim Club.
By joining Dragon Swim Club, attending training, entering competitions, travelling with the team, or taking part in club activities, you agree to follow these Terms and Conditions, Dragon Swim Club rules, Swimming New Zealand rules, facility rules, and reasonable instructions from coaches, team managers, officials and club representatives.
Club Membership
Dragon Swim Club Inc. is a competitive swimming club. The club supports swimmers to compete, develop their skills, and represent Dragon Swim Club at swimming events.
Club membership is separate from squad training. Training is provided by V-Dragon Swim Teaching and Coaching Service Ltd.
The club may update membership categories, eligibility requirements and participation expectations from time to time.
Parents/caregivers must make sure all information provided to the club is correct and kept up to date, including contact details, emergency contacts and medical information.
The club may refuse, suspend or cancel membership if a swimmer, parent/caregiver or member seriously breaches club rules, Swimming New Zealand rules, facility rules or expected standards of behaviour.
Swimming New Zealand Affiliation
Dragon Swim Club is affiliated with Swimming New Zealand.
Swimmers who wish to compete in Swimming New Zealand events may need the correct Swimming New Zealand membership or registration.
Swimming New Zealand sets its own fees, membership categories, eligibility rules and competition requirements. These may change from time to time.
Parents/caregivers are responsible for making sure their swimmer has the correct registration before entering competitions.
Swimming New Zealand affiliation fees are payable to Swimming New Zealand through Fastlane. This fee is not proportional, and the annual renewal date is 1 July each year.
Swimming New Zealand affiliation fees will not be refundable once processed.
Training Provider
Training for Dragon Swim Club swimmers is provided by V-Dragon Swim Teaching and Coaching Service Ltd.
V-Dragon Swim Teaching and Coaching Service Ltd manages coaching, squad placement, training schedules, coach allocation and day-to-day training operations.
Dragon Swim Club and V-Dragon Swim Teaching and Coaching Service Ltd are separate organisations.
Dragon Swim Club manages club membership, club governance, club representation, competition support, team travel and club activities.
V-Dragon Swim Teaching and Coaching Service Ltd manages training and coaching services.
Payment of Dragon Swim Club membership fees does not automatically include training fees.
Payment of training fees does not automatically include club membership, Swimming New Zealand affiliation, competition entry fees, team travel costs or uniform costs, unless this has been clearly confirmed in writing.
Fees and Payments
Fees may include:
- Dragon Swim Club membership fees
- Swimming New Zealand affiliation fees
- Training and coaching fees
- Administration fees
- Competition entry fees
- Uniform costs
- Team travel costs
- Other swimming-related costs
Club-related fees will be communicated by Dragon Swim Club.
Training and coaching fees, and administration fees, will be communicated by V-Dragon Swim Teaching and Coaching Service Ltd.
Training and coaching fees are charged per quarter and include school terms and school holidays.
Each swimmer may take up to 4 weeks of non-charging break per year, in additional to our schedule breaks over Christmas/New year break. Please advise us by email if you are planning to be away.
An administration fee will be added to the quarterly invoice.
Fees must be paid by the due date shown on the invoice or payment request.
Unpaid fees may affect a swimmer’s ability to train, compete, travel with the team, or take part in club activities.
Competition entry fees are generally non-refundable once entries have been submitted, unless the club receives a refund from the event organiser.
Squad Placement and Training
Squad placement is decided by V-Dragon Swim Teaching and Coaching Service Ltd.
Decisions are based on swimmer ability, training readiness, competition goals, coach recommendation, lane space and programme structure.
Squad placement is not guaranteed and may change during the season.
Swimmers are expected to attend training regularly, arrive on time and be ready to train.
Swimmers must follow coach and pool staff instructions at all times.
Parents/caregivers must collect swimmers promptly at the end of training.
Training times, venues, coaches, lane allocation and squad structure may change when needed due to pool availability, staffing, safety, swimmer numbers or programme needs.
Missed training sessions are not automatically refundable or transferable unless agreed by V-Dragon Swim Teaching and Coaching Service Ltd.
Competitions
Swimmers are encouraged to compete at a level suitable for their age, ability and training commitment.
Coaches may guide swimmers on competition entries, event selection and race recommendations.
Dragon Swim Club may set competition participation expectations for different squads or membership groups.
Parents/caregivers must confirm swimmer availability before entries are submitted.
Once competition entries are submitted, swimmers are expected to attend unless they are sick, injured, have an emergency or have another reasonable reason.
Swimmers representing Dragon Swim Club must behave respectfully and wear club uniform when required.
The club is not responsible for competition cancellations, programme changes, delays, disqualifications, rejected entries, qualification issues, or decisions made by event organisers, officials, Swimming New Zealand or regional swimming bodies.
Team Travel and Away Meets
Dragon Swim Club may organise team travel, accommodation, transport, team managers and coaching support for selected competitions.
Participation in team travel depends on availability, swimmer suitability, payment of costs, parent/caregiver consent and club approval.
Parents/caregivers must provide accurate medical, dietary, emergency and consent information before any team trip.
Swimmers must follow instructions from coaches, team managers and authorised adults during team travel.
The club may remove a swimmer from a trip or activity if their behaviour creates a safety concern, disrupts the team, or breaches rules.
Parents/caregivers may be required to collect a swimmer at their own cost if the swimmer needs to return early due to serious misconduct, illness, injury or safety concerns.
Travel and accommodation costs may not be refundable once bookings have been confirmed, unless the club can recover the cost.
Parent/Caregiver Responsibilities
Parents/caregivers are expected to support swimmers, coaches, volunteers and officials in a respectful and positive way.
Parents/caregivers must ensure swimmers arrive on time, have the right equipment, and understand training and competition expectations.
Parents/caregivers must not interfere with coaching during training or competitions.
Questions about training, coaching, squad placement or swimmer progress should be raised with V-Dragon Swim Teaching and Coaching Service Ltd.
Questions about membership, affiliation, competitions, club duties or team travel should be raised with Dragon Swim Club.
Parents/caregivers are responsible for supervising their child when required by the facility, event organiser, club policy or law.
Families may be asked to help with club duties, timekeeping, officiating, fundraising, event support or team management.
Swimmer Behaviour
Swimmers must behave respectfully towards coaches, teammates, competitors, officials, volunteers, facility staff and members of the public.
Swimmers must not bully, harass, threaten, abuse or discriminate against others.
Swimmers must not use offensive language, damage property, act unsafely, or behave in a way that harms the reputation of Dragon Swim Club or V-Dragon Swim Teaching and Coaching Service Ltd.
Swimmers must follow pool rules, safety instructions and competition rules.
Swimmers must respect the privacy, dignity and personal boundaries of others, including in changing rooms, toilets, accommodation and team environments.
Serious or repeated misconduct may result in removal from training, competitions, team travel, or club membership.
Health and Safety
Parents/caregivers must tell Dragon Swim Club and V-Dragon Swim Teaching and Coaching Service Ltd about any medical condition, allergy, injury, disability, medication, learning need or other matter that may affect the swimmer’s safety or participation.
Swimmers must not attend training or competitions if they are unwell, contagious, injured, or unable to participate safely.
The club, training provider or coach may ask for medical clearance before a swimmer returns to training or competition.
In an emergency, the club, training provider, coach, team manager or authorised adult may seek medical help if a parent/caregiver cannot be contacted in time.
Swimming and sporting activities involve risk. The club and training provider will take reasonable steps to provide a safe environment, but accidents and injuries can still happen.
Child Protection and Safeguarding
Dragon Swim Club and V-Dragon Swim Teaching and Coaching Service Ltd are committed to providing a safe, respectful and inclusive environment for children and young people.
All swimmers, parents/caregivers, coaches, volunteers and officials must act in the best interests of children and young people.
Any concern about child safety, bullying, harassment, abuse or inappropriate behaviour should be reported to the club or training provider as soon as possible.
The club or training provider may take immediate action if there is a safety concern.
Changing Rooms, Toilets and Facility Rules
All swimmers, parents/caregivers and supporters must follow the rules of the facility being used.
Swimmers must respect the privacy of others in changing rooms, toilets and showers.
Photography or video recording is not allowed in changing rooms, toilets or showers.
Parents/caregivers must ensure children use facilities safely and appropriately.
Photos, Videos and Media
Dragon Swim Club and/or V-Dragon Swim Teaching and Coaching Service Ltd may take photos or videos during training, competitions, team activities and events for coaching, communication, promotion, social media, newsletters, website content or club records.
Parents/caregivers may opt out of promotional use of images by notifying the relevant organisation in writing.
Photos or videos taken by parents/caregivers must be appropriate and must not breach the privacy of other swimmers.
No photos or videos may be taken in changing rooms, toilets or private areas.
Communication
Dragon Swim Club may communicate with members about membership, competitions, club events, team travel, club duties, fundraising and general club updates.
V-Dragon Swim Teaching and Coaching Service Ltd may communicate with swimmers and parents/caregivers about training, coaching, squad placement, training fees and swimmer development.
Communication may be sent by email, phone, text message, website, social media or other reasonable methods.
Parents/caregivers are responsible for reading club and training communications and responding by required deadlines.
All communication with coaches, committee members, volunteers, staff, parents and swimmers must be respectful.
Uniform and Equipment
Swimmers may be required to wear Dragon Swim Club uniform at competitions, prizegivings, team travel and official club activities.
Swimmers are responsible for bringing the correct training and competition equipment.
Uniform and equipment purchases are generally non-refundable unless required by law.
Volunteers and Parent Help
Dragon Swim Club relies on support from parents/caregivers, volunteers and officials.
Families may be asked to help with competition duties, timekeeping, fundraising, team management, officiating or event support.
If a duty roster is issued, families are expected to complete their allocated duty or arrange a suitable replacement.
Complaints and Concerns
Any complaint or concern should be raised respectfully and as soon as practical.
Concerns about training, coaching, squad placement or swimmer progress should normally be raised with V-Dragon Swim Teaching and Coaching Service Ltd.
Concerns about club membership, club governance, competitions, team travel, club duties or member behaviour should normally be raised with Dragon Swim Club.
Serious complaints may be referred to the Dragon Swim Club Committee.
The club and/or training provider will aim to deal with concerns fairly and respectfully.
Discipline and Suspension
Dragon Swim Club may take action if a swimmer, parent/caregiver, member, volunteer or supporter breaches these Terms and Conditions, club rules, Swimming New Zealand rules, facility rules or expected behaviour standards.
V-Dragon Swim Teaching and Coaching Service Ltd may also take action for behaviour or safety issues during training.
Action may include a warning, parent meeting, removal from a session, suspension from training, withdrawal from competition, removal from team travel, or cancellation of membership.
In serious cases, a person may be suspended while the matter is reviewed.
Privacy
Dragon Swim Club and V-Dragon Swim Teaching and Coaching Service Ltd collect personal information to manage membership, training, competitions, communication, safety, payments, travel, affiliation and administration.
Personal information may include swimmer details, parent/caregiver details, contact information, emergency contacts, medical information, competition information, payment information and consent records.
Necessary information may be shared with Dragon Swim Club, V-Dragon Swim Teaching and Coaching Service Ltd, Swimming New Zealand, regional swimming bodies, coaches, team managers, event organisers, facility providers, medical providers or other relevant parties where needed.
The club and training provider will take reasonable steps to protect personal information.
Liability and Risk
Swimming, training, competitions, dryland activities, travel and club events involve risk.
By taking part, swimmers and parents/caregivers accept the normal risks involved in swimming and sport.
Dragon Swim Club and V-Dragon Swim Teaching and Coaching Service Ltd will take reasonable care within their areas of responsibility, but they are not responsible for every accident, injury, loss, delay, cancellation, illness or damage that may occur.
Members are responsible for their own belongings. The club and training provider are not responsible for lost, stolen or damaged property.
Nothing in these Terms and Conditions limits any rights that cannot legally be limited under New Zealand law.
Cancellations and Changes
Training sessions, competitions, events or trips may be cancelled, changed or postponed due to circumstances outside the control of Dragon Swim Club or V-Dragon Swim Teaching and Coaching Service Ltd.
This may include pool closure, weather, illness, staffing issues, facility issues, public health requirements, event organiser decisions, safety concerns or transport disruption.
The club or training provider will communicate changes as soon as reasonably practical.
Refunds or credits are not provided except for long-term injury, where a medical certificate clearly states that the required recovery period is over 4 weeks.
Withdrawal
Members who wish to withdraw from club membership, training, a trip or a competition must notify the relevant organisation in writing.
Withdrawing from Dragon Swim Club membership does not automatically cancel training fees or obligations with V-Dragon Swim Teaching and Coaching Service Ltd.
Withdrawing from training does not automatically cancel Dragon Swim Club membership, Swimming New Zealand affiliation, competition entries or club-related costs.
Refunds or credits are not provided except for long-term injury, where a medical certificate clearly states that the required recovery period is over 4 weeks.
Competition, travel, accommodation, affiliation and administration costs may be non-refundable once committed or paid.
Changes to These Terms and Conditions
Dragon Swim Club may update these Terms and Conditions from time to time.
Members will be notified of significant changes.
Continued membership or participation after changes have been communicated will be treated as acceptance of the updated Terms and Conditions.
Acceptance
By registering with Dragon Swim Club, paying fees, attending training, entering competitions, participating in team travel, volunteering, or taking part in club activities, you confirm that you have read, understood and agreed to these Terms and Conditions.
For swimmers under 18 years of age, a parent or legal guardian accepts these Terms and Conditions on the swimmer’s behalf.
